You can create and edit reusable line items in Lili so your invoices stay consistent, accurate, and fast to build—whether you’re billing for services, products, or a mix of both.
What is a line item?
A line item represents a specific service or product on your invoice.
Each line item typically includes a name, description, unit price, and quantity, and it directly affects your invoice subtotal and any tax you apply.
Using consistent line items makes it easier to:
- Reuse the same services and products across many invoices
- Keep pricing aligned across customers and projects
- Help your finance and accounting partners understand what you’re billing for
Where to manage your services and products
Lili keeps your services and products in a central list so you don’t have to retype them each time.
You can:
- Add new items to your Services & Products list
- Edit existing items if your pricing or descriptions change
- Select these items when creating invoices from both the web app and the mobile app
This works well for LLCs, corporations, and partnerships that bill similar work repeatedly across multiple clients or locations.
How to create a new line item
Web App
- In the main menu, click Invoicing > Settings > Services & Products
- At the top right, click Add New Item
- In the popup window, enter the Item Name, Description, and Price
- Click Save & Add to store the item in your catalog for future invoices
Mobile App
- In the main menu, tap Invoicing
- Tap the settings icon at the top right
- At the bottom of the window, choose Services & Products
- Click on the + icon
- Enter the Item Name, Description, and Price
- Tap Add Item to save it
Once created, these items will be available to select whenever you build an invoice, so your team doesn’t need to remember pricing from scratch.
Using line items when creating an invoice
When you create an invoice, you can either choose from your saved items or add a new one on the fly.
On the invoice:
- Select a saved item to automatically pull in its name, description, and price
- Adjust the quantity for how many units you’re billing
- Update the price if this invoice requires a custom rate
- Add or adjust the description to reflect project‑specific details
Your invoice total will update automatically as you add or edit line items, quantities, and prices.
Editing existing line items in your catalog
If your services, products, or pricing change, you can update items in your Services & Products list.
Web App
- In the main menu, click Invoicing > Settings > Services & Products
- Find the item you wish to edit and click the three dots on the right
- Select Edit Details
- Update the Item Name, Description, or Price
- Click Save
Mobile App
- In the main menu, tap Invoicing
- Tap the settings icon at the top right
- Choose Services & Products
- Select the item, update the Item Name, Description, or Price
- Tap Save
Edits apply to future invoices that use this item; invoices you’ve already sent stay unchanged in your records.
Adjusting quantities, tax, and discounts on the invoice
On an individual invoice, you have additional control over how each line item contributes to the total.
You can:
- Change the quantity (for example, number of hours, units, or days)
- Adjust the price by clicking the pencil icon in the line item for special arrangements or one‑off pricing
- Add sales tax and apply your tax rate according to local rules
- Apply discounts on all line items
Your subtotal and total will automatically update as you change these values.
Keeping your invoices clear and professional
For growing businesses, strong line‑item hygiene goes a long way.
Consider:
- Using clear, descriptive item names (for example, “Q2 Strategy Workshop – 4 hours” instead of “Consulting”)
- Grouping related items together on the invoice and using consistent naming across clients
- Reviewing quantities, tax, and discounts before sending so your customer’s finance team can approve quickly
