How do I approve or decline a payment request?

If you're assigned as a Payment Approver, you can review and approve or decline payment requests submitted by Managers on your account. This allows you to maintain control over outgoing funds while allowing your team to prepare payments for your review.

Where do I find pending payment requests?

Payment requests appear in the Pending section of your transaction activity.

Each pending request will show:

  • Date the request was submitted
  • Payment description
  • Payment amount
  • Status: "Awaiting your approval" (if you're the approver) or "Awaiting approval" (for other users)

How do I review a payment request?

  1. Go to your Pending transactions
  2. Click on the payment request you want to review
  3. Review the Payment approval details section, which includes:
    • Status (Pending approval)
    • Requested by (name of the Manager who submitted it)
    • Payment Approver (your name)
    • Payment details (recipient, amount, payment method)

For international wire transfers, you'll also see the current exchange rate, which may differ from the rate when the payment was originally submitted.

How do I approve a payment?

  1. Open the pending payment request
  2. Review all payment details carefully
  3. Click Approve

Once approved:

  • A success message will appear
  • The Manager who submitted the request will receive an email notification
  • The payment will be processed
  • The request status will update to "Approved" with the approval date
  • Authorized users will be able to categorize the transaction

How do I decline a payment?

  1. Open the pending payment request
  2. Click Decline
  3. Confirm your decision when prompted with "Are you sure?"

Once declined:

  • The Manager who submitted the request will receive an email notification
  • The funds on hold will be released back to your available balance
  • The transaction will no longer be visible in transaction activity

What happens if I don't approve or decline a request?

If a payment request is not approved or declined within 5 days, it will automatically expire.

When a request expires:

  • Both you and the Manager will receive an email notification
  • The funds on hold will be released back to your available balance
  • The transaction will no longer be visible in transaction activity

Can I see who submitted a payment request?

Yes. The Payment approval details section shows:

  • Who requested the payment (Manager's name)
  • Who is assigned to approve it (your name)
  • When the request was submitted
  • The approval, decline, or expiration date (after a decision is made)

What payment types can I approve?

You can approve or decline any of the following payment types submitted by Managers:

  • ACH transfers
  • Domestic wire transfers
  • International wire transfers
  • Mailed checks
